Invite link basics
I received a proof invite â what do I do?
Click the secure link in the email you received. Most reviewers do not need an account or password. The link gives you access only to that specific proof package.
Tip: If youâre on a phone, open the link in your default browser (Safari/Chrome) for the best experience.
Do I need to create an account?
Usually, no. Customers and reviewers access proofs through the secure invite link. Only internal/team members sign in to create packages and manage invites.
Can my proof link expire?
Yes. For security, invite links may be time-limited and can expire. If your link is expired, request a new invite from your contact and weâll resend it.
Why did I receive a verification code?
Some proofs use an extra security step. The one-time code helps ensure only the intended recipient can access the proof.
If you donât see it, check your spam/junk folder.
Can I forward my link to someone else?
For best security and audit history, each reviewer should have their own invite. Ask your contact to send a separate invite to anyone else who needs access.
Reviewing a proof
Why do I see multiple files or âcomponentsâ?
Some jobs include more than one proof (example: letter, envelope, insert). ProofShare groups these into a single package so everything stays together.
Use the thumbnail/component panel to switch between files and review each one.
What are annotations, and how do I use them?
Annotations let you leave feedback directly on the proof (markups, notes, callouts) so the team sees comments in context.
If you donât see annotation tools, your invite may be view-only. Ask your contact to enable commenting.
What happens after I approve or request changes?
Your decision is recorded and time-stamped. If you approve, production can move forward using the approved version. If you request changes, the team will revise the proof and send an updated package when ready.
Can I download or print the proof?
If downloading/printing is enabled for your invite, youâll see options in the viewer. Some packages intentionally limit downloads for security reasons.
Security & privacy
Is ProofShare secure?
ProofShare uses secure invite links and (optionally) verification codes to control access. Access is scoped to the specific package you were invited to review.
If you ever receive an invite you werenât expecting, donât open it â contact your account representative.
Why do links expire?
Expiring links reduce the chance of old emails being reused later, especially when proofs change over time. If you need more time, request a fresh link.
Troubleshooting
The proof wonât load â what should I try?
Try these quick fixes:
- Refresh the page.
- Open the invite link in Chrome, Edge, or Safari (avoid in-app email browsers if possible).
- Disable ad blockers/privacy extensions for this page and reload.
- If youâre on a corporate network, try from a different connection (some proxies block large PDFs).
I can see the proof but canât annotate or decide.
Your invite may be view-only, or the package may be in a state where decisions are restricted. Ask your contact to resend the invite with the appropriate role (view / comment / approve).
I clicked the link and it says âNot Foundâ or âInvalidâ.
That usually means the link is expired, was copied incorrectly, or the package was replaced. Request a new invite link and weâll resend it.
For internal teams
Why canât I sign in?
Sign-in is for internal/team members with an existing account. If youâre a customer, you should use your invite link instead of signing in.
If youâre on the team and still canât sign in, contact your ProofShare administrator.
